A citation-reference mismatch is a simple error with an outsized effect. It tells an editor or reviewer that the paper may not have received a final systematic inspection. The most common forms are an author-year citation with no bibliography entry, a bibliography entry that never appears in the paper, and a year or spelling difference that prevents the two from matching.
What a citation-reference checker should verify
A useful checker performs two complementary comparisons:
- Every in-text citation should have a plausible corresponding reference-list entry.
- Every reference-list entry should be cited somewhere in the manuscript unless the journal explicitly permits a broader bibliography.
The comparison sounds easy, but real manuscripts contain complications: suffixes such as 2020a and 2020b, group authors, transliterated names, particles in surnames, several works inside one parenthesis, and citations located in tables, notes, captions, or appendices.
Why a simple ChatGPT prompt is not enough
A language model can inspect pasted text, but a repeatable document check should also inspect the complete DOCX, preserve a record of every flag, and separate deterministic matching from interpretive judgment. The free scanner therefore treats its results as possible mismatches, not automatic corrections.
How to review the report
Start with citations missing from the bibliography. For each flag, search the reference list manually and check for:
- A different publication year
- A misspelled surname
- A group author written in an abbreviated form
- A work cited only through a secondary source
- A duplicate entry with inconsistent formatting
Then inspect references that appear uncited. Some will be false positives, especially when a citation occurs in a footnote or table not captured by the current parser. Others are genuinely unused sources left behind after revision.
What the checker does not yet verify
The current version does not prove that a cited work exists, that the DOI is correct, or that the reference follows a particular edition of APA, Chicago, Harvard, or another style. Database verification against Crossref or OpenAlex is a separate stage planned for the hosted premium version.
A practical final-pass routine
- Run the DOCX scan.
- Resolve every high-priority citation mismatch.
- Search the manuscript for each apparently uncited first-author surname.
- Re-run the scan after changes.
- Use the target journal's own instructions for punctuation and reference style.
- Inspect tables, figures, notes, and supplementary files separately.
